Privacy Policy

How we look after the information you share with us.

Last updated 29 July 2026. This policy applies to www.ginkgoevents.co.uk and is operated by Ginkgo Events Limited. We may update it from time to time; the current version always appears on this page.

The information we collect

Non-personal information. Like most websites, we automatically record limited technical information such as your domain, browser type, the pages you view, and the date and time of your visit. This helps us understand how the site is used and improve it.

Personal information. We only collect personal information you choose to give us — for example when you register your interest through a form, request a quote or proposal, join a mailing list, or correspond with us. This typically includes your name, email address, phone number, company and the details of your event enquiry.

We do not collect financial or health-related information, and we do not knowingly collect information from children under 13.

How we use your information

We use non-personal information to analyse and improve the website and its content. We use the personal information you provide to respond to your enquiry and follow up by phone, email or post, to provide and improve our services, and — where you have agreed — to send you occasional marketing communications. We may share information with trusted partners in order to provide our services, but we never sell, trade or rent your personal data.

Enquiry forms and how long we keep the details

When you submit an enquiry, the details you provide are stored securely in a database hosted on our behalf by Cloudflare (a Cloudflare D1 database, in the EU), which is our record of your enquiry. At the same time, your details are emailed to our team — and a confirmation is emailed to you — using our email provider, Resend, acting as our processor. Cloudflare acts as our hosting and infrastructure processor. If the notification email cannot be sent at the time, a copy is held briefly (up to 30 days) so your enquiry is not lost, then automatically deleted. We use Cloudflare Turnstile to protect our forms from spam; it processes limited technical data to tell humans and bots apart.

Retention. We keep enquiry records for up to 24 months from your last contact, after which they are deleted, unless we need to keep them longer for a specific reason (for example an ongoing booking or a legal obligation). You can ask us to delete your enquiry sooner at any time (see "Your rights" below).

Marketing and your choices

Newsletter sign-up is always optional and never ticked by default — you are only added to our mailing list if you actively choose to opt in. If you do opt in, your email address is stored securely and managed in Campaign Monitor, which we use to send our newsletters. Every marketing email includes an easy way to unsubscribe, and you can ask us to stop contacting you at any time.

Who processes your data

We rely on a small number of trusted providers to run the website and respond to you. Each acts only on our instructions, as our processor:

  • Cloudflare — hosts the website and stores your enquiry (in a Cloudflare D1 database in the EU). Cloudflare Turnstile, our anti-spam check, processes limited technical data including your IP address to tell humans from bots.
  • Resend — delivers the enquiry notification to our team and the confirmation email to you.
  • Campaign Monitor — sends our newsletters. It only holds the details of people who have opted in, added manually by us; there is no automated flow of website data into Campaign Monitor.

We never sell, trade or rent your personal data.

Cookies

Cookies are small files a website stores on your device. We use as few as possible.

Cookies we use without asking. Some cookies are needed for the site to work at all — for example, remembering your cookie choice, and protecting our enquiry form from automated spam. These don't identify you and can't be switched off without breaking the site.

Cookies we ask permission for. We'd like to use Google Analytics to understand how people find and use our site: which pages are read, how visitors arrive, and where they run into difficulty. Google Analytics sets cookies that recognise a returning browser, and collects information including approximate location (city level, from your IP address), the pages you visit, the device and browser you use, and how you arrived at the site.

We only set these cookies if you accept them. When you first visit, a banner asks you to Accept or Reject. Until you choose, no analytics cookies are set. If you reject, none are set at all, and you can still use every part of the site normally.

Changing your mind. Select "Cookie settings" in the footer of any page to change your choice at any time. You can also delete cookies through your browser settings, though this will clear your saved preference and the banner will appear again.

Who else is involved. Google Analytics is provided by Google (their privacy policy is at policies.google.com/privacy). We don't use cookies for advertising, we don't sell your data, and we don't share analytics information with anyone else.

How we protect your information

We use appropriate technical and organisational measures — including firewalls, monitoring, passwords and restricted, need-to-know access — to keep your information secure.

Links to other sites

Our site may link to third-party websites. We don't control those sites and aren't responsible for their content or privacy practices.
